THE DOO FIELD GUIDE

A place for every plan.
A way to get started.

Explore the features, learn the shortcuts, and build a rhythm that works for you.

Start with the basics

01 / DOO IN PRACTICE

Your first five minutes

Start small. Capture a task, give it a home, and decide when you’ll do it.

Capture one thing

On Mac, press ⌘N in Doo or ⌃⌥Space from another app. On iPhone, tap the + button. Write a task title and add it.

Give it a home

Choose your Work or Personal space. Add a project when the task belongs to a larger goal; otherwise keep it in your Inbox to organize later.

Pick today’s work

Open the task and set Schedule to today. It appears in Today. Finish it by marking it complete; use the status control when you need another stage in your workflow.

02 / DOO IN PRACTICE

Capture without breaking your flow

Quick entry turns a passing thought into something you can return to.

Use a few useful shortcuts

Type $personal to choose a space, #project to choose a project, and !p1, !p2, or !p3 to set priority. Use the suggestions to select an existing destination or create one. P1 is the highest priority.

Tag a person

Type @ followed by a person’s or meeting’s name and select the suggestion. People and meetings belong to the task’s space.

Add context before saving

Use the quick-entry attribute controls for dates, estimates, and other details. On Mac, ⌘Return asks Apple Intelligence to interpret the entry when it is available. Review the result before adding the task.

03 / DOO IN PRACTICE

Spaces, projects, and smaller steps

Separate the parts of your life, then organize each at the level you need.

Switch spaces

Use the space switcher to move between Work, Personal, or another space you’ve created. Inbox and Today reflect the active space.

Build a project

Create a project in its space. Nest projects when a larger goal has distinct parts, and choose a color to make it easier to recognize.

Break work into subtasks

Open a task and use its Subtasks section, or choose Add Subtask from the task’s context menu. On Mac, the Break Down command can suggest steps with Apple Intelligence; review the included steps before applying them.

04 / DOO IN PRACTICE

Today, next week, or Backlog

A date and a week answer different questions. Choose the amount of commitment the task needs.

Plan a day or a week

Set Schedule for the day you intend to work. Use the Week picker for a broader plan. In project and All Tasks views, filter by This Week, Next Week, Later, or Backlog.

Set possibilities aside

Choose Backlog in the Week menu for tasks you aren’t committing to yet. Backlog is a workflow status. Giving a backlogged task a scheduled day or week brings it back into planned work.

Plan at project level

On Mac, open a project’s context menu and enable Start Tasks in Backlog if it is a collection of possibilities. Open unfinished work planned for a past week rolls into the current week; an old scheduled day can still appear overdue in Today.

05 / DOO IN PRACTICE

Dates that mean different things

Keep your intention, target, and firm commitment separate.

Schedule, Due, and Deadline

Schedule is when you intend to work. Due is a soft target. Deadline is a hard date with consequences. Set the fields you need in the task editor; Today includes open tasks scheduled, due, or with a deadline today or earlier.

Set a reminder

Choose a Reminder date and time for a notification. Allow notifications for Doo on the device where you want to receive them.

Remember at the right place

Add a Location reminder and choose arrival or departure. Location reminders fire on iPhone and require location access. Saved places are managed in Settings → Places.

06 / DOO IN PRACTICE

Keep the files with the task

Photos, PDFs, and documents stay with the work they support.

Attach on Mac

Open a task, find Attachments, and choose Add Files. You can also drop files onto that section or use Attach Files in quick entry. Each file can be up to 25 MB.

Attach on iPhone

Open the task’s Attachments section and use Add Attachment. Choose Photo Library for an image or Choose File for a document.

Preview and manage

Select an attachment to preview it with Quick Look. Use its context menu to remove it. Files sync with their task through iCloud when sync is available. Attachments are removed 30 days after their task is completed, so keep a separate copy of anything you need long term.

07 / DOO IN PRACTICE

People and meeting agendas

Collect the things you need to discuss before the conversation starts.

Create a person or meeting

Open People or Meetings in the space, then add an entry. You can also add a new person or meeting while editing a task.

Build an agenda as you go

Tag a task with @ and select the meeting or person. Open that entry to see its associated tasks together. Meeting tasks start in Backlog, ready to bring up when needed.

Keep the agenda current

Open a task from the person or meeting page to update it, plan it, or complete it. A meeting is a way to organize tasks; it does not send calendar invitations.

08 / DOO IN PRACTICE

Give routines a rhythm

Set up repeating tasks once, then manage each occurrence as life changes.

Choose a repeat rule

Open a task and add a rule in Repeat. Start with Every Day, Every Weekday, Every Week, or another preset, then adjust the interval and selected days.

Fine-tune the timing

Use the repeat controls for monthly dates and other patterns. Set how many days before the occurrence it should appear, and check the Next date.

Skip or stop

Choose Skip This One to skip an occurrence. Use Stop Repeating when the routine no longer belongs in your plan.

09 / DOO IN PRACTICE

See the work your way

Use the view and grouping that make your next decision easier.

Choose a list or board

Use the page’s view controls to switch between a list and board. Group by Status or Project; a project page can group by Subproject.

Shape your workflow

In Settings → Statuses, arrange the workflow stages. In Settings → Sorting, choose the task sort order; the same order applies to subtasks.

Find something quickly

Use Search to find tasks across spaces. On Mac, ⌘F opens Search, ⌘S switches spaces, and ⌘P jumps to a project.

10 / DOO IN PRACTICE

Notice the progress you make

Keep an eye on your workload and build a sustainable daily rhythm.

Check the overview

Open the overview or metrics control to review task progress and estimates. Add an estimate to a task when you want a more useful sense of the work ahead.

Set a daily goal

Open Settings → Goals and choose a daily task goal. Completed subtasks count too, across all spaces.

Protect your days off

Choose your days off in Goals. Missing the goal on a day off does not break your streak.

11 / DOO IN PRACTICE

Capture from another app

Bring useful context into Doo while it’s in front of you.

Use the share sheet

Choose Doo from the macOS or iOS share sheet when sharing supported content. Review the title and destination, then choose Add. Enable the Doo share extension in the system’s sharing options if it isn’t listed.

Capture with system shortcuts

On iPhone, Doo also exposes task creation through App Shortcuts and a home-screen New Task action. Touch and hold the Doo icon to use New Task.

A few things to know

Apple Intelligence features depend on a supported device, language, and Apple Intelligence being enabled. Doo shows availability in Settings. iCloud sync depends on your Apple account and system configuration.
